1. Who this policy applies to

This policy applies to business owners, office users, technicians, administrators, and any person whose information is captured inside JobCardHub, including customer details added to job cards.

2. Information we may collect

Depending on how the platform is used, JobCardHub may process:

• Business names, contact details, account details, billing details, and subscription information.
• User names, email addresses, phone numbers, login details, roles, and access permissions.
• Customer names, phone numbers, email addresses, job addresses, notes, job descriptions, and appointment details.
• Job card data, scheduling records, technician assignments, statuses, photos, customer signatures, stock or material notes, completed-work notes, PDF job card records, invoice references, and related service history.
• Technical data such as device type, browser, app version, IP address, security logs, and usage information needed to operate and protect the service.

3. How we use information

We use information to provide the JobCardHub service, manage accounts, support job card workflows, schedule jobs, manage technician access, generate completed-job records, provide customer signatures, support users, process billing, improve the platform, and maintain security.

4. Customer data entered by businesses

Businesses using JobCardHub are responsible for making sure they have the right to enter customer information into the platform. JobCardHub provides the software system and does not become the trade contractor responsible for the actual service work.

5. Sharing of information

We do not sell user or customer personal information. We may share information with trusted service providers only where required to operate the platform, including website hosting, database storage, payment processing, email delivery, SMS or notification providers, analytics, security monitoring, and support tools.

6. Payments and subscriptions

Payment information may be processed by third-party payment providers. JobCardHub does not need to store full card details when a payment provider handles the transaction.

7. Data security

We use reasonable technical and organisational safeguards to protect data. No online service can be guaranteed completely secure, so users must also protect their own login details, devices, and account access.

8. Data retention

We keep information for as long as needed to provide the service, comply with legal or accounting duties, resolve disputes, prevent abuse, and maintain business records. Some records, such as invoices or payment history, may need to be retained even after an account is closed.

9. Account and data deletion

Users may request account and data deletion through the Account & Data Deletion page or by emailing accounts@jobcardhub.co.za.

10. Children

JobCardHub is intended for trade businesses and their authorised users. It is not intended for use by children.

11. Changes to this policy

We may update this Privacy Policy when the platform, legal requirements, or operational processes change. The latest version will be available on this page.
